How Fast Is My Mail Printed and Sent?
Fast Delivery! 99% of all HOA mail is processed and mailed by the next business day. First-class and Certified Mail are delivered via the United States Postal Service, with timelines subject to their delivery schedules. FedEx 2Day mail is handled through FedEx. Please note, we do not influence the performance of postal or courier services.

Can I Have More Than One User On the Account?
Yes! LetterStream has many multi-user accounts. Create your account and add the users needed. Your account has no monthly fees regardless of the number of users on your account. Send away!
Can I track the production process in my account?
Yes! Your private account allows complete transparency at each step in the process. You have complete visibility of each job and its production history. Additionally, you receive automatic emails for job completion and the mailing of your document(s).
Why Must I Qualify To Send FedEx 2Day Online?
Short answer: Security, your security. At LetterStream, we take your security very seriously. It’s important to us that our tools are used as intended and protected from fraudulent activity. Verifying your account is a quick and simple process. Once verified, you’ll have full access to send FedEx 2Day envelopes online—right from your computer.

What Is A Flat Envelope, Aren't All Envelopes Flat?
You are correct; for the most part, all envelopes that carry mail are flat. However, the USPS uses the word Flat to define a document in its unfolded position. This generally means a flat (-sized) envelope is 9” x 12”, which allows 8.5” x 11” sheets of paper to be placed in the envelope without the need to fold the sheets. So while all documents are inserted into letters in a flat, un wadded up fashion, to the USPS, flat means the ability to accommodate unfolded sheets of paper.
The LetterStream flat envelope is 9” x 12” and has a single large window to allow your return address and your recipients’ addresses to be printed on a cover sheet and show through the roughly 4” x 5” window of the non-flap size of our white envelope.
According to the USPS website (2023);
“Sizes for Large Envelopes and Flats
The Postal Service uses the word “flats” to refer to large envelopes, newsletters, and magazines. The words large envelopes and flats are used interchangeably. Whatever you call them, flats must:
- Have one dimension that is greater than 6-1/8 inches high OR 11-½ inches long OR ¼ inch thick.
- Be no more than 12 inches high x 15 inches long x ¾ inch thick.”
Is Sending Mail Through LetterStream any safer than our company sending it internally?
You’ll ultimately be the best judge of that, but here are some things to consider:
Do you email your documents in and around the office? LetterStream doesn’t. Our secure portal and propriety software nearly eliminates the need for us to share documents.
Do you train all of your employees in data privacy and security? Every LetterStream employee goes through recurring HIPAA training so we properly safe-guard protected health information. We use the same standards on every document we handle.
Do you put documents in your outbound mail box or in a USPS blue drop box? LetterStream doesn’t. Our mail is securely transported to a secure postal facility or authorized representative for processing.
If you ever get rid of a computer or copier that has seen your document, are the harddrives securely shredded under the watchful eye of an employee? LetterStream’s are.
When Should I NOT use Certified Mail?
There are a few times when you should NOT use Certified Mail. Ultimately, you decide.
The first is when you need guaranteed delivery, as delivery is not guaranteed with Certified Mail.
The second is when you need it delivered quickly. Certified Mail travels the same speed as First-class mail, but the post office can’t make people pick up or accept their mail.
A third reason not to send certified mail is if you are trying to do something scammy or illegal. We mention it only because the reality is that it happens.
A Few Additional Questions
Do I need a printer to print my letters? No, we do everything.
If I don’t take the letter to the post office, do I need to drop it off somewhere? No, we drop it off at the post office.
What supplies do I need to purchase? No, we purchase all supplies necessary to get your letter printed, inserted and mailed.
What if I have a paper allergy? No problem, you don’t need to touch or own paper for us to get your letter printed and mailed.
What if I fear getting cancer from licking the glue on envelopes? No problem, we lick the envelopes for you. Again, there is absolutely no buying or handling of paper or envelopes; thats what we take care of for you. But for the record, we don’t really lick the flaps of envelopes either; we have machines that lick them for us.
Is there a special way to put the certified mail barcode over the top edge of the envelope? Well, there is, but we take care of that too, so you don’t really do anything with the paper, labels, postage or envelopes.
Is this some sort of electronic document or is it real mail? Our service takes your electronic document and turns it into a printed page, which gets put in an envelope by us, and mailed via USPS Certified Mail. Its a real Certified Mail letter, trackable on the USPS website, and delivered (or attempted) by a US Mail Carrier.
There are a lot of other services like yours, what makes you different? Actually there are very few services like ours. Most others promise that you don’t have to go to the post office, but they still require you to fold and stuff pieces of paper into envelopes, which is only slightly more enjoyable than going to the post office. Our service is unique in that we do all the the work including printing and mailing your letters. So when evaluating certified mail solutions, make sure to look for ones that eliminate all the paper, not just the green cards, and make sure you don’t need to order their supplies and postage machine.
